SymvioHub — Terms of Service

1. Agreement

These Terms of Service ("Terms") govern your use of SymvioHub, a client intake portal service operated by AppNeed Solutions ("we", "us"). By creating an account or using SymvioHub, you agree to these Terms. If you do not agree, do not use the service.

2. The service

SymvioHub lets freelancers and agencies collect project briefs, files, contract signatures and deposit confirmations from their clients through a shareable link. We provide the platform; you are responsible for the content of your portals, the contracts you present, and your relationship with your clients.

3. Accounts & plans

SymvioHub is offered on two paid plans, Starter and Pro. Starter includes a 7-day free trial. After the trial ends, continued access requires a paid subscription; if you do not subscribe, your account moves to read-only access and you can view existing data but cannot create new portals or send links. Pro has no free trial and is billed immediately. Prices are shown at checkout and billed through our payment provider.

4. Your responsibilities

You are responsible for the accuracy and legality of the contracts, forms and payment instructions you create. SymvioHub is a tool for collecting information and signatures; it is not a law firm and does not provide legal advice. You must ensure your contracts comply with the laws that apply to you and your clients.

5. Electronic signatures

SymvioHub records typed and drawn signatures together with a timestamp and IP address. While these records are designed to support the validity of electronic signatures under frameworks such as eIDAS and the ESIGN Act, we make no guarantee that any particular signature will be enforceable in your jurisdiction. Consult a legal professional if enforceability is critical to you.

6. Payments between you and your clients

SymvioHub does not process payments between you and your clients. Deposit collection works by displaying your own payment instructions to the client and letting them confirm they have paid; you confirm receipt manually. We are not a party to, and bear no responsibility for, any transaction between you and your clients.

7. Acceptable use

You may not use SymvioHub to send spam, collect information unlawfully, distribute malware, or engage in fraudulent, harassing or illegal activity. We may suspend accounts that violate these Terms.

8. Cancellation

You may cancel your subscription at any time. Access continues until the end of your current billing period. We do not provide refunds for partial periods unless required by law.

9. Limitation of liability

SymvioHub is provided "as is". To the maximum extent permitted by law, AppNeed Solutions is not liable for indirect, incidental or consequential damages, lost profits, or loss of data arising from your use of the service. Our total liability is limited to the amount you paid us in the twelve months before the claim.

10. Changes

We may update these Terms. Material changes will be communicated by email or in-app notice. Continued use after changes take effect constitutes acceptance.

SymvioHub — Privacy Policy

1. Who we are

SymvioHub is operated by AppNeed Solutions. This policy explains what personal data we collect, how we use it, and your rights under the GDPR and similar laws.

2. Data we collect

From account holders (freelancers): name, email, business details you enter (business name, address, tax ID, phone), logo, and subscription/billing information handled by our payment provider.

From clients using a portal: the information they submit in your portal — name, email, phone, project details, uploaded files, and signature data (typed/drawn name, timestamp and IP address).

3. Controller and processor

For your own account data, AppNeed Solutions is the data controller. For the client data you collect through your portals, you are the data controller and SymvioHub acts as your data processor — we process that data on your behalf and under your instructions.

4. How we use data

We use account data to provide and bill the service, send service emails, and offer support. We use client portal data solely to deliver the portal experience you configured — displaying the form, storing uploaded files, recording signatures, and sending the emails you trigger.

5. Storage & sub-processors

Files uploaded through portals are stored on Cloudflare R2 (EU region). Transactional emails are sent through Resend. Application hosting and database are provided by Base44. Payments are handled by our payment provider. Each processes data only as needed to provide their part of the service.

6. Retention

Portal data is retained while your account is active. Inactive portals are auto-archived after 30 days on the Starter plan. When you delete a portal, its files are permanently removed from storage. When you close your account, we delete or anonymize your data within a reasonable period unless we must retain it for legal reasons.

7. Your rights

You have the right to access, correct, export or delete your personal data, and to object to or restrict certain processing. To exercise these rights, contact us. If you are a client who submitted data to a freelancer's portal, contact that freelancer (the controller) first; we will assist them in responding.

8. Cookies

SymvioHub uses only essential cookies needed to keep you logged in and run the application. We do not use advertising cookies.

SymvioHub — End User License Agreement

1. License grant

Subject to your compliance with these terms and your active subscription, AppNeed Solutions grants you a limited, non-exclusive, non-transferable, revocable license to access and use SymvioHub for your own business purposes.

2. Restrictions

You may not: (a) copy, resell, sublicense or redistribute the software; (b) reverse-engineer or attempt to extract the source code except as permitted by law; (c) remove or obscure any proprietary notices; (d) use the service to build a competing product; or (e) use the service in violation of any applicable law.

3. Ownership

SymvioHub, including all software, design, templates and trademarks, is and remains the property of AppNeed Solutions. This license does not transfer any ownership rights to you. The content you create in your portals remains yours.

4. Templates & contracts

The template contracts and suggested texts provided in SymvioHub are starting points only, offered without warranty of legal sufficiency. You are responsible for reviewing and adapting them to your needs and jurisdiction. AppNeed Solutions is not liable for the legal outcome of any contract created with these templates.

5. Availability

We aim for high availability but do not guarantee uninterrupted service. We may modify, suspend or discontinue features with reasonable notice.

6. Termination

This license terminates automatically if you breach these terms or your subscription ends. On termination you must stop using the service. Provisions on ownership, disclaimers and liability survive termination.

7. Warranty disclaimer

The software is provided "as is" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.

Account & Purchase Data: When you purchase a product, your payment and billing information is processed by LemonSqueezy (our Merchant of Record). We receive only your name, email address, and purchase details — never your card data.

Contact Form Data: When you submit a contact or newsletter form, we collect your name and email address. This data is processed via Web3Forms and forwarded to our email.

Usage Data: We may collect anonymous analytics data (pages visited, browser type, country) via Google Analytics to improve our services.

3. How We Use Your Data

We use your data to: deliver the products and services you purchase; respond to your enquiries; send product updates and announcements (only if you subscribed); and improve our website and applications.

We do not sell, rent, or share your personal data with third parties for marketing purposes.

4. Legal Basis (GDPR)

For users in the European Economic Area, we process your data on the following bases: Contract — to fulfil your purchase; Legitimate Interests — to improve our services; Consent — for newsletter communications, which you may withdraw at any time.

5. Data Retention

We retain your purchase records as required by applicable tax and accounting law (typically 5–10 years). Newsletter subscription data is retained until you unsubscribe. Contact form submissions are retained for 12 months.

6. Your Rights

By accessing or using any AppNeedSolutions website, application, or service, you agree to be bound by these Terms of Use. If you do not agree, do not use our services.

2. Services

AppNeedSolutions provides micro-SaaS software applications on a subscription basis. Features, pricing, and availability may change with reasonable notice. We reserve the right to discontinue any service with 30 days' notice to active subscribers.

3. User Accounts & Eligibility

You must be at least 18 years old and capable of entering into a binding contract to use our paid services. You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account.

4. Subscriptions & Payments

Subscriptions are billed on a monthly or annual basis as selected at checkout. Payments are processed by LemonSqueezy as Merchant of Record. All prices are shown in USD and are exclusive of applicable taxes unless stated otherwise.

You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period. We do not offer pro-rata refunds for partial periods, except where required by applicable law.

5. Acceptable Use

You agree not to: reverse-engineer, decompile, or attempt to extract source code from our applications; use our services for illegal activities; resell or sublicense access to our services without written permission; or interfere with the operation of our infrastructure.

6. Intellectual Property

All AppNeedSolutions software, designs, trademarks, and content are the exclusive property of AppNeedSolutions. Your subscription grants you a limited, non-exclusive, non-transferable licence to use the relevant application(s) during the subscription term.

7. Disclaimer of Warranties

Our services are provided "as is" without warranties of any kind, express or implied. We do not warrant that the services will be uninterrupted, error-free, or meet your specific requirements.

8. Limitation of Liability

To the maximum extent permitted by law, AppNeedSolutions shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of our services. Our total liability shall not exceed the amount you paid us in the 12 months preceding the claim.

9. Governing Law

These Terms are governed by the laws of Greece and the European Union. Disputes shall be subject to the exclusive jurisdiction of the courts of Athens, Greece.

End User License Agreement

1. Grant of Licence

Subject to the terms of this Agreement and payment of the applicable subscription fee, AppNeedSolutions grants you a limited, non-exclusive, non-transferable, revocable licence to install and use the Application solely for your internal business or personal purposes.

2. Restrictions

You may not: (a) copy, modify, or create derivative works of the Application; (b) reverse-engineer, disassemble, or decompile the Application; (c) sell, sublicense, rent, lease, or transfer the Application or your rights under this Agreement to any third party; (d) remove or alter any proprietary notices or labels on the Application.

3. Subscription & Activation

Access to the Application requires an active subscription. The licence is valid only during the paid subscription period. Upon cancellation or non-renewal, your right to use the Application terminates. Licence keys are issued per user / per seat as specified in your plan.

4. Ownership

The Application and all copies thereof are proprietary to AppNeedSolutions and title thereto remains with AppNeedSolutions. All rights in the Application not specifically granted in this Agreement are reserved to AppNeedSolutions.

5. Updates & Support

Active subscribers receive application updates automatically. Support is provided via email at support@appneedsolutions.com during business hours (Monday–Friday, EET timezone).

6. Disclaimer & Limitation of Liability

The Application is provided "as is." AppNeedSolutions disclaims all warranties to the fullest extent permitted by law. In no event shall AppNeedSolutions be liable for any indirect or consequential damages arising from use of the Application. Total liability shall not exceed the fees paid in the preceding 12 months.

7. Termination

This licence is effective until terminated. Your rights under this Agreement terminate automatically if you fail to comply with any of its terms. Upon termination, you must cease all use of the Application and delete all copies.

8. Governing Law

This Agreement is governed by the laws of Greece. Any disputes shall be resolved in the courts of Athens, Greece.

1. Purpose & Scope

This Data Processing Agreement ("DPA") applies to business customers ("Controller") who use AppNeedSolutions applications ("Processor") and in doing so cause AppNeedSolutions to process personal data on their behalf. This DPA forms part of, and is incorporated into, the Terms of Use.

2. Definitions

Personal Data, Processing, Controller, Processor have the meanings given in Regulation (EU) 2016/679 (GDPR). "Customer Data" means any personal data submitted by or on behalf of the Controller through the Application.

3. Processor Obligations

AppNeedSolutions shall: (a) process Customer Data only on documented instructions from the Controller; (b) ensure that personnel authorised to process Customer Data are bound by confidentiality obligations; (c) implement appropriate technical and organisational security measures; (d) not engage sub-processors without prior written authorisation; (e) assist the Controller in responding to data subject rights requests; (f) delete or return Customer Data upon termination of the agreement.

4. Controller Obligations

The Controller confirms that: (a) it has a lawful basis for processing the personal data it submits; (b) it has provided appropriate notices to data subjects; (c) the instructions it gives AppNeedSolutions comply with applicable law.

5. Sub-Processors

The Controller authorises AppNeedSolutions to use the following sub-processors: Vercel Inc. (hosting, USA — Standard Contractual Clauses apply) · Cloudflare Inc. (CDN/DNS, USA — SCCs apply) · LemonSqueezy (payments) · Web3Forms (form submissions). AppNeedSolutions will notify the Controller of any intended changes to sub-processors with at least 14 days' notice.

6. International Transfers

Where Customer Data is transferred outside the EEA, AppNeedSolutions ensures appropriate safeguards are in place, including Standard Contractual Clauses (EU Commission Decision 2021/914) where applicable.

7. Security

AppNeedSolutions implements appropriate technical and organisational measures to protect Customer Data against unauthorised access, loss, or destruction, including encryption in transit (TLS) and access controls.

8. Data Breach Notification

AppNeedSolutions will notify the Controller without undue delay (and in any event within 72 hours) upon becoming aware of a personal data breach affecting Customer Data.

9. Duration & Termination

This DPA remains in force for the duration of the subscription. Upon termination, AppNeedSolutions will, at the Controller's choice, delete or return all Customer Data within 30 days.
